What to track (and why)

Disputes and deductions are won on records. For every repair, capture four things:

  • Date — when the work happened.
  • Amount — what you paid.
  • Who you paid — the vendor (needed for 1099s over $600/yr).
  • What & where — the issue and which unit, ideally with a before/after photo.

Doing this by hand across multiple properties gets tedious fast — which is exactly why most landlords skip it and lose deductions. RentingAuthority captures it automatically: tenants text repairs to one number, and you log the cost right on the request. Free for your first property.
